Privacy Data Protection

1.1 Author and Reviewer Privacy

Kmed Journal is committed to protecting the personal data of authors, reviewers, and editors in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR) where applicable.

Personal data collected during the submission and review process is used solely for:

  • Managing manuscript submissions and peer review processes.
  • Communicating with authors and reviewers
  • Maintaining records for quality assurance and dispute resolution
  • Anonymised analysis to improve editorial processes

We do not sell or share personal data with third parties for marketing purposes.

1.2 Published Author Information

Upon publication, the following author information becomes part of the permanent public record:

  • Full names and affiliations
  • ORCID iDs (if provided)
  • Email address of the corresponding author
  • Author contributions and conflict of interest statements

This information is necessary for transparency and attribution and cannot be removed after publication except in exceptional circumstances.

1.3 Patient Privacy

Authors must ensure that patient privacy is protected in all manuscripts. Identifying information (names, initials, hospital numbers, dates, images showing faces) must be removed unless:

  • The information is essential for scientific understanding, and
  • The patient (or legal guardian) has provided explicit written informed consent for publication

Disguising eyes in photographs or changing patient details is not sufficient to ensure anonymity and does not eliminate the need for consent.

1.4 Data Retention

We retain manuscript files, peer review reports, and correspondence for a minimum of 7 years after publication or final decision. After this period, data may be securely destroyed unless required for ongoing investigations or legal proceedings.

Published articles are retained permanently in digital archives.

1.5 Rights of Data Subjects

Authors, reviewers, and other individuals have the right to:

  • Request access to their personal data
  • Request correction of inaccurate data
  • Request deletion of data (subject to legal and contractual obligations)
  • Object to processing of their data
  • Lodge a complaint with a data protection authority
